PA to Briony Greenhill

About

Briony is a musician and music teacher. She runs weekend, week-long and year-long courses. She’s also a recording, performing artist, and has an app called YourSong which is aspects of her in-person teaching in app form.  She’s a busy working mum with a baby who turns 1 in March. www.brionygreenhill.com

Briony needs a PA to work an hour or two per day, ideally at least 4 days per week, to keep track of everything, take care of all student and venue relationships, handle correspondence, administration, and a variety of tasks to keep the show on the road.

Briony is looking for someone who will have her back, have everything more organised than she could herself, foresee what’s coming up and prepare for it; manage all student communications and the teaching schedule, book venues for courses, work with chefs, manage a host of relationships that go into this work.

Politeness, kindness, warmth, attention to detail, care, efficiency and organisation are primary qualities.

There will be communication with Briony as needed, a team meeting (with Briony and the marketing person) once per quarter, and a zoom meeting with Briony every week or two. 

There’s a need to use spreadsheets and do some regular financial data entry, in conjunction with the book keeper, Lucy. Set up and manage a CRM spreadsheet.

Briony is also an artist and there is a need to send info to venues and promoters; there can be relationship management with studios, musicians, festivals and so on.

The role may involve researching and purchasing equipment, booking travel and possibly booking childcare.

The idea is to take the administrative work and overview off Briony’s shoulders so that she can do what she’s good at.

Roles and Responsibilities

  • Student relationship management

  • Applications, enrolment, payment management; questions, issues, feedback forms, and so on

  • Financial tracking in conjunction with the book keeper 

  • Managing Briony’s diary

  • Managing the annual teaching schedule - booking venues, managing dates

  • Keeping an eye on the diary and foreseeing what is needed

  • Managing relationships with venues, assistants, chefs, 

  • Sending artistry info to venues and promoters

  • Social media - interfacing with Briony’s Facebook and instagram accounts for admin tasks there

  • Responding to requests and emails

  • help set up systems, efficiency, and identify where that is needed / opportunities for that

  • Information and file management - keeping things well organised, up to date and tidy

  • Responding to other relevant needs and requests as they come up.

  • Being available when extended courses start, for last minute matriculation needs

  • Checking the website and keeping it up to date - Squarespace. Working in conjunction with the marketing person.
